How to configure roles and permissions for users
Learn how to assign roles and configure permissions for each user and role in Fello.
Fello provides default roles with preset permissions. You can change a user's role, adjust the permissions for a role, or set custom permissions for an individual user as your team's needs evolve.

User roles in Fello
Every user is assigned one of four roles:
- Owner: Owners have access to everything, and their permissions cannot be edited.
- Admin: Admins have broad access by default, and their permissions can be edited at the role level.
- Member: Members have limited access by default, and their permissions can be edited at the role level.
- Custom: A set of permissions tailored to one user. To set custom access, select Custom from the user's Role dropdown, then turn individual permissions on or off.
Editing a role (Admin or Member) updates the permissions for everyone on that role. To change permissions for just one user, set their role to Custom and adjust their toggles individually.
How to change a user's role
- Go to Settings > User Management.

- On the Users tab, click the user's name to open their details.
- Open Permissions from the left sub-navigation.
- Under Role, choose Admin, Member, or Custom from the dropdown.

How to set custom permissions for a user
To give one user a different set of permissions than their role provides:
- Go to Settings > User Management.

- On the Users tab, click the user's name to open their details.
- Open Permissions from the left sub-navigation.
- Under Role, select Custom.

- Turn individual permissions on or off.
- Click Save.
🗒️ Note: Permissions can only be edited for an individual user when their role is set to Custom. On the Owner, Admin, and Member roles, the toggles are locked, and changing one does not switch the user to Custom.
How to edit permissions for a role
- Go to Settings > User Management.

- Navigate to the Roles & Permissions tab to see how many users are on each role.

- Click View next to Admin or Member to open that role's permissions.

- Toggle permissions on or off to update the role.

🗒️ Note: The Owner role opens in view-only mode and cannot be edited. Custom has no View link, because custom permissions are set per user on the user's Permissions page.
What each permission does
Permissions are grouped into four sections on the Permissions page.
Contacts
- Access All Contact Records: View and edit all contact records, even contacts that are not assigned to them.
- Access to Unassigned Contacts: View and assign unassigned contacts.
- Add Contact Records: Add contact records manually in Fello.
- Create/Edit Shared Segments: Create and edit shared segments.
- Import Contact Records: Import one or more contact records into Fello.
- Export Contact Records: Export one or more contact records into Fello.
- Delete Contact Records: Delete contact records.
Felix AI
- Configure Felix AI: Set up and edit all Felix AI configurations. Required for bulk enrollment.
- Enroll in Nurture Agent: Manually enroll a contact in Felix Nurture.
- Enroll in Sales Agent: Manually enroll a contact in Felix Sales Agent.
🗒️ Note: Both enrollment permissions respect a user's existing contact access. A user who can only see their own contacts can only enroll their own contacts, even with these permissions on. Stopping Felix, skipping a step, or adjusting an active sequence stays available to anyone with access to the contact, and is not gated by these permissions.
Marketing

- Configure Account Settings: Configure all account-level settings, except those that require separate permissions, such as User Management.
- Configure Users: Add or remove users, edit user information, and configure roles.
